Position Purpose :
To provide an effective Secretarial and Office Management support in order to enhance the OPS Team’s effectiveness by
managing all functions in the department.
Position outputs :
1. Enhance ops manager’s affectivity by rendering a personal service and to support them in the attainment of their businessobjectives and daily tasks.
2. Communicate business matters to ops team timeously, clearly, accurately and effectively by means of e-mail, telephone,fax, in writing.
3. Remain alert to customers’ needs and deal with their requests. Understand the challenges of delivering consistent value
to clients and to the company to create and sustain a competitive advantage.
4. Anticipate the needs of operations managers in each situation and react accordingly.

5. Meet with manager to update diary and to discuss important matters and events. Plan an organized day (no overbooking,proper time planning – consider location of meeting and distance to be travelled to venue).
6. Schedule appointments and activities in a suitable manner in order to maximize time efficiencies.
7. Collect all the relevant information and submit to the managers for their presentations.
8. Compose and type effective and accurate correspondence and reports for signatures of managers.
9. Manage the diary of the Chief of Operations Manager.
10. Keep manager informed of all meetings and commitments and remind them timeously
11. Send e-mail messages and action received messages.
12. Take minutes in all ops meetings chaired by the COM and Ops Manager.
13. Keep updated database of manager’s personal details – often required by manager for submission to relevant people.
14. Screening telephone calls for COM and take messages.
15. Co-ordinate events.
16. Ensure that the filling system is all the time up to date.
17. Maintain an effective message taking system.
18. Assisting OPS department on Ad Hoc Projects
Qualifications & Experience :
• Matric
• Secretarial Program (One year) / equivalent qualification
• 2 year experience in admin
